Guidance Glimpse: Student Selection Day and Interviews

Teacher Interviews At Gordon Cooper Technology Center for 2005-06
The enrollment process at GCTC for high school students is as follows:
- Submit application to high school counselor at sending school
- Counselor completes application with required documents and signature
- GCTC counselor comes to sending school and has interview with student and parent
- Program instructors review applications and make recommendation
- Students are ranked in order highest to lowest and placed in available program slots by secondary counselor
Some teachers had been conducting a second interview on their own prior to placement. This year we offered this to all instructors and made students aware of the second interview at the initial interview. We had 7 out of 23 instructors opt to do second interviews for 05-06. Student Services made postcards and filled them out and mailed them to the number of students that the instructors requested to interview. They gave us the time intervals they wanted to use and we made their interview schedules for them. We made any changes that people needed on the schedule prior to giving the schedule to the instructors. We had two professional days in place on March 25th and April 1st that we used as our interview days. This allowed us to still make our initial approved list deadline to the sending schools of April 15th. We had a duplicate form that we used for the interview to rank students that also serves as their plan of study. A copy of this was given to the instructors to use as their information for the interview. They interviewed the student with a parent and some even administered a short Math test. They made notes and a recommendation on the information sheet and returned it to Student Services to be used when placing the students in the programs. We had the students and parents check in at Student Services (SS) to sign in and get a visitor badge. They were escorted to the program for their interview and then they checked back out of SS after the interview.
The process did add extra work to SS, but went smoothly and the parents seemed to enjoy being there and meeting the instructors. We are one day in so I do not have much feedback, but the instructors seem to be happy with the process and feel it will improve the level of student they get. Other instructors that chose not to interview did not feel a second interview was necessary for a variety of reasons. SS felt that the second interview added value to some of the courses that needed a more serious student and offered the instructors a chance to go into more detail about expectations with student and parent.

Selection Team Responsibilities
Prior to Selection Day:
- Assign Individual Program Criteria point breakout
- Program Visit/Tech Fair 10 points
- Interest (Interview) 50 points
- Academic Achievement 40 points
Selected Classes GPA = 20 points
Test Scores = 20 points
Note: Teams will assign specific point values to Interest Area categories.
- Set cutoff score for each program is 50 points
- Determine Program Openings
Formula: + Maximum Capacity (set by state - SAS system) - Pre-enrollment (done @ campus) + Over-enrollment (set by district) - Adult slots (25% of capacity until Feb. 18) = Available program openings for high school - Determine team members for the selection team and assign a chairperson
Selection Day
- Review Criteria Rating Form (CRF) and assign points (individually)
- Review CRFs as a group and determine average score for individual applicant
- If a CRF has a point discrepancy of 15 to 20 points or more the team will re-evaluate that applicants CRF's
- If an applicant is within 5 points of meeting the minimum score of 50, the team will evalutate the CRF's to see if additional points can be given.
- CRF's are stapled by applicant ID number
- Record each applicants average score on the Master Report Sheet
- All Selection Team Members sign off on Master Score Sheet
- Turn in Master Score Sheet with all CRF's to the tabulation team
- Tabulation team verifies score averages and signs off on the Master Sheet
- If a discrepancy is found the CRF's and Master Score Sheet will be returned to the Selection Team.
- Once the Program Name is displayed on the white board - the team is released and should finish the day as per their campus director's instructions

Moore Norman Technology Center- Waiting List
MNTC's waiting list is an excel file that can be viewed by anyone in student services. It is located in our F-drive on their computer. Anyone can view the list, but each program is placed in a career cluster that has an Advisor (Counselor) and Consultant (secretary) in charge of making changes and updates to their programs waiting list. This enables us to access waiting list from our office, instead of having to go out and look in a filing cabinet. This is much easier to manage then our old paper and file folder process.
